Job Summary
Responsible for the efficient and professional direction of telephone calls and visitors by greeting and assisting office visitors in a professional, courteous manner and notify appropriate personnel of visitors; perform general administrative duties in support of departmental operations.
 
Key Job Responsibilities
  • Greet and assist office visitors in a professional, courteous manner at the assigned location and notify appropriate personnel of visitors.
  • Check employee’s identification badges, request visitor sign-in and issue visitor’s badges, as necessary.
  • May be required to schedule conference rooms in a timely and accurate manner.
  • Receive incoming packages and notify appropriate personnel of delivery
  • Perform clerical responsibilities as directed to provide location and departmental support.
  • May be required to assist with security duties (e.g., contact Security via radio when security system or alarm sounds, silence alarms, etc.)
  • Provide directions to different company departments within the location as necessary.
  • As required, provide first contact for incoming phone calls and visitors at the assigned location.
  • Represent the company in a professional and courteous manner.
  • Screen and direct all phone calls to the correct department or individual in a timely manner.
  • Forward accurate, timely messages to the appropriate individual or department via voicemail or written phone message.
  • Establish and maintain a professional relationship with internal/external customers, team members and department contacts.
  • Treat all internal/external customers, team members and department contacts with dignity and respect.
  • Escalate to supervisor any situation that could adversely impact the services being provided.
Other Related Duties
  • May be required to maintain and update receptionist directory for assigned location in a timely and accurate manner.
  • May be asked to perform other duties as required.
Minimum Education and Experience
  • High School diploma or GED required.
  • Additional specialized secretarial course work in office practices or business administration preferred.
Knowledge, Skills and Abilities
  • Minimum of one year secretarial or receptionist experience required.
  • Basic knowledge of Microsoft Word and Excel required.
